Purpose & Overall Relevance for the Organization:

To provide efficient and effective administration support to VP

Key Responsibilities:   

Planning

  1. Support in panning and management of workload for VP
  2. Panning of smaller projects and tracking progress

Management

  1. Provide genera administrative support to VP, including Calendar Management, task management and follow up, filing of expense claims, meeting coordination, reception of visitors, receive and screen phone calls, translation etc
  2. Provide genera administrative support to other APAC team members limited to only related team tasks/activities
  3. Create/Deveop presentations for VP based off content and framework provided
  4. Keep track of trave and holiday plans of key members of the department via “Team Leave & Travel Calendar”
  5. Document meetings (take minutes) and track progress of folow ups/action points post meetings
  6. Fiing and retrieval of key team documents online and offline via shared platforms
  7. Coordinate, integrate and folow up for internal meetings, reports and presentations
  8. Coordinate key APAC reated team meetings and workshops
  9. Various ad hoc tasks and projects as and when required

Financial

  • Closely work with Finance to ensure that the team is tracking OPEX properly by developing an internal system for T&E tracking on a monthly basis.
  • Ensure that the team is following internal processes for T&E by forecasting and managing the T&E according to budget allocated
  • To monitor the Actual vs. forecast and reallocate the required T&E budgets in alignment with VP

  1. Assist in deveopment of systems and processes
  2. Design and operate simpe Excel and Access tools/reports

Requisite Education and Experience / Minimum Qualifications:

  • Minimum of 3 to 5 years experience in a multinational company
  • University degree or above
  • English fluency and Mandarin fluency
  • High level knowledge and skills in Microsoft products, especially Powerpoint
