Product Marketing Administrative Assistant - Creation Centre Tokyo

Purpose & Overall Relevance for the Organization:

  • Provide a high level of administrative support to defined team(s) to ensure efficient management and running of the function on a day to day level.

    Key Responsibilities:

  • Take charge of routine correspondence to ensure timely and accurate response
  • Receive and screen telephone calls
  • Schedule internal and external meetings/conferences incl. booking of meeting rooms
  • Coordinate and execute all travel arrangements for team members including flight and hotel booking visa securing, car reservations and airport pick-up arrangements
  • Order office supplies
  • Administration of the shopping platform (SRM) incl. creation of shopping carts, placing orders, adding & maintaining materials and suppliers, control of orders, booking of incoming orders and preparation of invoice controlling
  • Coordination and administration of investment requests and inventory numbers, checking invoices in collaboration with SSC
  • Administration of investment request workflow
  • Coordination and administration of video conferences
  • Key contact point for information management (e.g. intranet), ensure content of the intranet is up to date
  • Maintain department files
  • Pick up and deliver postal mail / packages to the team
  • Supporting office setups and moves in collaboration with GA
  • Maintain vacation overview for team
  • Organizing entrance formalities to our office for visitors (arranging registration, welcoming visitors, business partners, creating guest Wi-Fi accounts, offering drinks)
  • Organizing / preparing setups for new comers (phone, laptop, business cards, etc.)
  • Understands and provides information about standards and processes of support area / department(s)
  • Support non-Japanese speakers of the team in regards to Ward Office matters, registration, insurances, authority matters, etc. (limited to non-private areas)

    Knowledge, Skills and Abilities:  

  • Solid working knowledge of Microsoft Office (particularly Excel, PowerPoint, Word, Outlook)
  • Very good command English both written and spoken
  • Fluent in Japanese
  • Good communication skills
  • High level of service orientation in dealing with internal and external stakeholders / customer
  • Good organizational skills
  • Basic SAP knowledge
  • Basic PC software skills
  • Basic knowledge on new media & applications

    Requisite Education and Experience / Minimum Qualifications:

  • 1 – 3 years of experience
  • Microsoft Office suite strong user 
  • Knowledge of systems and procedures of support area / department
